Acceptable Use Policy

This Acceptable Use Policy (“AUP”) sets out the rules for using services, networks, systems, and platforms provided or managed by Harrby Pty Ltd (“Harrby”, “we”, “our”, “us”). It is designed to protect our customers, their users, our infrastructure, and the wider internet community.
1. Introduction
By accessing or using any Harrby-managed service, cloud environment, network, or support channel, you agree to comply with this Acceptable Use Policy, along with any applicable Agreement, Privacy Policy, and Service Level Agreement (SLA).
This AUP applies to all users, including employees, contractors, and third parties who access services delivered or managed by Harrby.
2. Purpose
The purpose of this AUP is to:
- Promote responsible, secure, and lawful use of technology services.
- Protect systems and data from misuse, abuse, or security compromise.
- Clarify what is considered acceptable and unacceptable behaviour.
3. Scope
This AUP applies to all use of:
- Managed IT services, Microsoft cloud environments, and security solutions operated by Harrby.
- Networks, VPNs, firewalls, and remote access solutions managed by Harrby.
- Devices, accounts, and identities managed or integrated as part of a Harrby service.
- Support portals, email, chat, and other channels used to access Harrby support.
4. Authorised Use
You must only use Harrby services for legitimate business purposes that are authorised by your organisation and consistent with applicable laws, contracts, and policies.
Reasonable personal use may be permitted where allowed by your organisation’s policies, provided it does not:
- Interfere with business operations or service performance.
- Breach security controls, licensing terms, or legal obligations.
- Contravene this AUP or your organisation’s internal policies.
5. Prohibited Activities
You must not use Harrby-managed services to engage in any activity that is illegal, harmful, or abusive. Prohibited activities include, but are not limited to:
- Sending spam, phishing emails, or unsolicited bulk communications.
- Hosting, transmitting, or accessing unlawful, offensive, or malicious content.
- Attempting to gain unauthorised access to systems, data, or accounts.
- Introducing malware, ransomware, or any other malicious software.
- Bypassing, disabling, or tampering with security controls and monitoring tools.
- Using services for illegal file sharing, copyright infringement, or unlicensed software use.
- Performing network scanning, exploitation, or penetration testing without written approval.
6. Accounts & Credentials
You are responsible for keeping your accounts and credentials secure when using Harrby-managed services. This includes:
- Using strong, unique passwords and multi-factor authentication where required.
- Not sharing passwords, tokens, or authentication devices with other users.
- Promptly notifying your IT or security team if you suspect credential compromise.
7. Security Responsibilities
Security is a shared responsibility between Harrby and the Customer. Customers and end users agree to:
- Comply with security policies, guidelines, and technical standards communicated by Harrby or your organisation.
- Keep devices patched, protected by anti-malware, and physically secure, where under your control.
- Avoid installing unauthorised software or browser extensions on managed devices.
Harrby will implement reasonable controls aligned with vendor guidance and best practice as defined in your Agreement.
8. Data Protection & Privacy
Use of Harrby services must comply with applicable privacy and data protection laws, as well as our Privacy Policy and any data processing terms in your Agreement.
You must not use services to unlawfully collect, store, or share personal information, or to circumvent regulatory requirements.
9. Monitoring & Logging
To ensure security, reliability, and compliance, Harrby and/or the Customer may monitor the use of systems and services, including:
- System and security logs, alerts, and telemetry.
- Network traffic flowing through managed firewalls or gateways.
- Authentication activity and administrative changes.
Monitoring is conducted in accordance with applicable laws, contractual obligations, and privacy requirements.
10. Third-Party Services & Cloud Platforms
Where Harrby integrates or manages third-party platforms (such as Microsoft 365, Azure, or security vendors), you must also comply with the relevant third-party acceptable use and licensing terms.
Harrby is not responsible for breaches arising from a user’s failure to comply with third-party policies.
11. Reporting Incidents & Breaches
You must promptly report any suspected security incident, misuse, or policy breach to your internal IT team or to Harrby via the agreed support channels.
Early reporting helps minimise impact and supports a timely response and remediation.
12. Consequences of Breach
Breach of this Acceptable Use Policy may result in actions including (but not limited to):
- Suspension or restriction of user access.
- Removal of offending content or configurations.
- Notification to the Customer’s management or security teams.
- Termination of services in line with the Agreement.
- Referral to law enforcement where unlawful activity is suspected.
13. Law Enforcement & Legal Requests
Harrby may cooperate with law enforcement, regulators, or other authorities where required to do so by law or valid legal process. Where permitted, we will work with the Customer to manage such requests appropriately.
14. Relationship to Other Policies
This Acceptable Use Policy should be read alongside:
Where there is any inconsistency, the terms of your Agreement with Harrby will generally take precedence.
15. Updates to this Acceptable Use Policy
Harrby may update this AUP from time to time to reflect changes in law, technology, or our service offerings.
Updated versions will be published on this page with an amended “Last updated” date. Continued use of Harrby-managed services after changes are published will be taken as acceptance of the updated AUP.
